How estate agents win leads: the best channels and the one that is underrated
If new contacts arrive every week and the number of signed sales mandates does not rise with them, the cause is rarely the number of leads but the process behind them. Rented channels deliver only as many contacts as the budget allows, and portals pass owner contacts on to several offices. Without a captured lead source, you also do not know which channel brought an owner to you. Yet the demand is there. According to an INNOFACT survey commissioned by ImmoScout24 (2024), 57 percent of 500 owners surveyed would instruct an estate agent when selling (report at forschung-und-wissen.de), although it remains open which agent they would choose.

This article compares the lead-generation channels for estate agents. The yardstick for the ranking is whether they offer owned or rented reach, how fast they work and what they bring in sales mandates. The order follows surveys and vendor statements. What some offices overlook along the way is a lead channel on their own website: it reaches owners exactly when the sale has already been decided — but the choice of agent has not.

Owned and rented channels: the yardstick for the comparison
Because rented reach is limited by the budget, every comparison starts with the question of whether you use an owned or a rented channel. Owned channels such as your website, Google Business Profile, organic social-media profiles and referrals cost build-up time instead of a running budget and keep working when you stop putting money into them. Rented channels such as ads and purchased leads deliver within days but are limited by the budget (estatepartner.de, Seobility). There is also a difference between the contacts themselves: while a buyer lead fills viewing slots, an owner lead leads to a sales mandate, and only the sales mandate secures properties for you.
| Channel | Owned channel? | Typical limit |
|---|---|---|
| Referrals and past clients | yes | grows only with your client base |
| Website, Google Business Profile, online property valuation | yes | requires visitors, maintenance and time |
| Organic social media | yes | works mainly through brand and trust |
| Free energy certificate on the website | yes | reaches owners who have decided to sell |
| Tipsters | partly, as a relationship | tips arrive irregularly |
| Google Ads | no | depends on the landing page |
| Meta Ads | no | you have to follow up on contacts |
| Portals and purchased leads | no | the same contact often goes to several offices |
Referral marketing and past clients: reliable, but limited by your client base
When owners choose an estate agent, what they already know about that agent counts alongside market knowledge and the first meeting. In a Forsa survey of around 1,000 owners (2021), 92 percent named reputation and references as a reason for their choice (report at experten.de). A referral brings exactly that with it. In the INNOFACT survey, 28 percent of respondents also already knew an estate agent (report at forschung-und-wissen.de), which is why regular contact with former clients — an annual greeting or a market report, for instance — achieves more than waiting for the next call. The limit, however, lies in your client base, because referrals grow only as fast as the number of your satisfied clients, and this route does not reach owners who do not know you yet.
Website, local SEO and Google Business Profile: reach that works without a running budget
Many owners who do not know you yet search online for an estate agent. According to the INNOFACT survey, they mainly search via online platforms and search engines (report at forschung-und-wissen.de). This is where your website and Google Business Profile come in. In its expert survey, Whitespark weights the signals of the Google Business Profile at 32 percent for ranking in the local map results (Whitespark). That is an estimate from an expert survey. With an online property valuation on your website, the owner gets a first estimate of value and leaves contact details in return, often before calling an estate agent. It only produces enquiries if visitors arrive, however, and therefore depends on your Google Business Profile, local SEO or ads. SEO providers reckon with months until local SEO takes effect (Seobility). The Forsa survey (2021) speaks for the effort: the majority of respondents rated an agent's online presence as important, even though only a fifth considered it very important (report at experten.de).
Organic posts on Instagram, Facebook or LinkedIn also belong to that online presence. They cost mainly time rather than a running budget and strengthen what owners already know about you — the same reputation that referrals rest on. As a sole route to sales mandates they rarely suffice, according to agency assessments, because the path from a post to a mandate usually stays indirect. They work as a complement to your website and Google Business Profile, not as a substitute for search channels.
Google Ads and Meta Ads: fast, but dependent on the landing page
Ads let you bridge the time until your owned channels deliver enquiries. Because Google Ads reach owners who are searching for an estate agent or a property valuation right now, they deliver contacts with a recognisable intention to sell. According to agencies, Meta Ads, by contrast, reach owners who are not yet searching at all, usually through an advertised online property valuation (estatepartner.de). That is paid reach on the same platforms, not the same thing as organic posts: the ad delivers speed for as long as the budget runs, while organic posts mainly build brand and trust. Because Meta contacts sit earlier in the decision process, you have to follow up more often. In both cases, whether a click becomes an owner lead depends on the landing page. Attribute the contact through to the sales mandate, and you know what a lead costs in your office. One agency states on its sales pages (as of October 2026) between 25 and 750 euros per owner lead, depending on channel and pre-qualification (lead generation and Google Ads at marketing-guys.immobilien). What counts for your office is your own calculation per sales mandate.
Portals and purchased leads: strong for buyers, contested for owners
If you do not want to put the budget into ads yourself, you buy contacts from portals. For buyer contacts, that is the familiar route, and owners would also use portals when looking for an estate agent. According to the INNOFACT survey, which ImmoScout24 commissioned itself, more than half of respondents would use online platforms to look for an estate agent (report at forschung-und-wissen.de). In the portals' owner offerings, however, the same enquiry goes to several offices. Immowelt states (as of October 2026) that it passes each lead on to up to three agents in the postcode area (Immowelt). ImmoScout24 recommends up to three agents to owners and finances the service through a commission from the recommended agents (ImmoScout24). If you buy this way, you compete on speed and presentation from the first minute without building a channel of your own, and after cancelling you are back at the start. As a stopgap this can make sense, whereas as a permanent solution it makes your acquisition dependent on a provider that determines price and distribution.
Qualitative assessment
is limited by the budget
grows with the client base
Build-up over months
keeps working without a running budget
Time until it takes effect
Duration of the effect
Ads work within days and are limited by the budget. A website and Google Business Profile build up over months and then keep working without a running budget.
Tipsters: contacts before a reason to sell becomes public
Because portals give the same enquiry to several offices, the agent who hears about a reason to sell earlier has the advantage. According to agencies, property managers, tradespeople, financing brokers and energy consultants often learn before you do that an owner wants to sell — a network that costs relationship maintenance and, in case of success, a fee, but only produces concrete tips after some time (estatepartner.de). The law draws the line where the tipster does more than pass on a hint. Anyone who brokers the conclusion of a contract on residential premises or land, or shows an opportunity for one, needs a permit under § 34c GewO (German Trade Regulation Code). A tip also does not replace the owner's consent. Before you call them after a tip, obtain their express consent, because telephone advertising to consumers without prior express consent is unlawful under § 7(2) UWG (German Unfair Competition Act). This is guidance, not legal advice.
After the lead: call back the same day and capture the lead source
Even an early tip is useless if the contact is then left sitting. A lead is not yet a sales mandate, and if nobody calls back, owners are lost even after their enquiry has arrived. So call owners back the same day, ideally within a few hours. A US study from 2011 analysed 1.25 million leads and found that companies that responded within an hour qualified a lead almost seven times as often as companies that responded an hour later (HBR). Keep buyer leads and owner leads apart, and accompany early enquiries, for example from an advertised online property valuation, with a market report rather than an immediate appointment proposal, because these owners are usually still at the start of their decision. Above all, capture the source of every lead, because only then can you calculate at the end of the year what a sales mandate cost per channel.
The underrated channel: the energy certificate as a lead on your website
In a sale, an energy certificate must as a rule be issued if no valid one exists (§ 80(3) GModG, current wording). Anyone who needs the certificate has practically already made the decision to sell — otherwise they would not order it. The decision for a particular estate agent, however, is often still open at this stage. This is exactly where an underrated lead channel comes in: advertise a free energy certificate on your website. The owner comes to you with a concrete task, not with a non-binding request for information.
Many owners are overwhelmed by the certificate — type, data, deadlines and the mandatory disclosures in the listing feel like a second project alongside the sale. If you offer help on your pages and include the certificate as a service, you create real added value and build trust before the first meeting has even begun. The logic suggests that you considerably increase your chance of winning the mandate, because you are present exactly in the phase in which owners are looking for a partner and at the same time need relief.
The legal framework remains clear: seller or agent must present the certificate or a copy to the prospective buyer at the latest at the viewing (duty to present, § 80(4)). A further duty applies to the listing (property advertisement) if a certificate exists when it is placed. In that case, the agent responsible for the publication must ensure that the listing contains the mandatory disclosures (§ 87(1) GModG, current wording). The mandatory disclosures change on 1 January 2027 (Article 2 GModG); the details are in the article GModG for estate agents. Organising the certificate early also shortens the path from mandate to released listing.
For the offer on your website to deliver what it promises, you need a supplier that delivers certificates quickly and cheaply. Local energy consultants often issue certificates only alongside renovation advice, whereas specialised online providers such as energyausweis.de do exactly that at high volume. Because of this specialisation they are as a rule considerably cheaper and faster than a one-off order with a local consultant. Through the partner programme you refer the service and receive a commission. Alternatively, you can integrate the Energyausweis API™ into your website, CRM or portal and offer the free certificate as a lead magnet on your own domain. How this looks for estate agencies and large property managers is described in the article Estate agencies and property managers: benefits of the Energyausweis API. You will find the technical entry point in the API article. Energy consultants remain interesting as tipsters; for the lead on your website, what counts is speed, price and integration into your own web presence. How marketing agencies use the certificate as an additional service is described in the article GModG for marketing agencies.
This is where the certificate lead comes in
- 1Sale decided
- 2Certificate needed
- 3Free certificate on your website
- 4Contact with your office
- 5Choice of agent still open
- 6Trust and mandate
Anyone who needs the certificate is as a rule already selling — and is often still looking for the agent who will take this task on as well.
How to build your channel mix in 90 days
That leaves the question of which channels to build first. To start, three are enough if they fit together: an owned channel that keeps working without a running budget, a fast channel that you assess by cost per sales mandate, and a third that runs on relationships. Which these are for you depends on your market and can only be decided with your own data.
Four checks before the budget decision
The following seven steps lead in 90 days from taking stock to a documented channel mix:
- Capture the source of each lead and call back the same day. Make the source a mandatory field in your client records, separated into buyer lead and owner lead.
- Keep in regular contact with former clients. Schedule an annual greeting or market report with a fixed date.
- Complete your Google Business Profile and online property valuation. Ask clients for a review after the notary appointment and check where the visitors to your online property valuation come from.
- Test one fast channel with a limited budget. Attribute every contact through to the sales mandate.
- Approach two tipsters. Agree the fee in writing and clarify how the owner's consent to calls is obtained.
- Offer a free energy certificate on your website as a lead magnet. Clarify supplier, partner programme or Energyausweis API™ so that the service delivers what the page promises.
- After 90 days, compare cost per sales mandate. Shift budget to the channel with the lowest cost per sales mandate.
Start with the two steps that cost no budget: capture the source and call back the same day. Only then does every later channel decision rest on evidence. In parallel, decide how owners request the free certificate on your website — and which specialised online provider delivers it.
Frequently asked questions
Which channel brings estate agents the best sales mandates?
Referrals are particularly credible for owners, a website and Google Business Profile work longest, and ads work fastest. Which mix wins for you shows in the calculation by cost per sales mandate.
Is it worth buying owner leads from portals?
For a transition period it can make sense. According to the portals, an owner lead goes to up to three agents. So assess the purchase by cost per sales mandate, not by the price per lead.
How quickly should you answer an owner enquiry?
Call back the same day, ideally within a few hours. According to a US study from 2011, companies that responded within an hour qualified leads almost seven times as often as companies that responded an hour later.
May estate agents call owners without consent?
No. Under § 7(2) UWG, telephone advertising to consumers without prior express consent is unlawful. The same applies to email advertising. Advertising letters are unlawful under § 7(1) UWG if it is recognisable that the recipient does not want them. This is guidance, not legal advice.
Is the energy certificate a lead channel for estate agents?
Yes — especially if you offer it on your website as a free service. Owners who need a certificate have as a rule already decided to sell and are often still looking for an agent. Taking that task off their hands builds trust and raises your chance of winning the mandate.
How do you find out which channel pays off for your office?
Capture the source of every lead and attribute every sales mandate to its channel, so that after 90 days you can divide each channel's costs by the number of its sales mandates. Then shift budget to the channel with the lowest cost per sales mandate.
Summary and outlook
More contacts alone do not secure sales mandates. What matters is whether a channel is owned or rented, how fast it works and what it costs per mandate — and whether you capture source and callback so that this calculation is possible at all. To start, three channels that fit together are enough: one without a running budget, one that delivers speed, and one that runs on relationships. Organic social media belongs to your owned reach, but usually delivers mandates only indirectly through brand and trust.
The underrated lever often sits on your own website: if you advertise a free energy certificate, you reach owners in the phase in which the sale has already been decided and the choice of agent is still open. Taking the overwhelm out of the certificate builds trust and at the same time shortens the path to a released listing. From 1 January 2027 the mandatory disclosures change; clarifying the process and the supplier now means you are faster when it counts.
The next step is measurable: source per lead, callback the same day, test the certificate lead on your website, after 90 days compare cost per sales mandate. Then you know which mix works in your market — and not only which channel delivers the most contacts.
